AI for commercial real estate firms

AI for a commercial real estate firm is software that reads the firm's own files, such as leases, LOIs, estoppels and email, and handles the paperwork around them. It answers questions with a citation to the page, tracks deadlines, sorts incoming mail and drafts documents for a person to review. Nothing goes out without approval.

What does AI do for a CRE firm today?

Most of a CRE firm's hours go to the work around the deal: finding a clause, checking a date, answering the same tenant question again. AI handles that work well because it reads and drafts from documents the firm already has. The table shows the split we build around.

TaskWhat the AI doesWhat your team still does
Lease questionsReads the lease and answers in plain language, cited to the section and pageDecides what to do with the answer
DeadlinesTracks options, renewals, rent bumps and insurance expirations, and reminds you earlyMakes the call on each one
EmailSorts incoming mail and flags what needs you todayReplies, or approves a draft
Owner reportsDrafts the update from the week's activityReviews it and sends it
Deal documentsDrafts LOIs and notices in your firm's format, built to orderNegotiates the terms

Where does AI still need a person?

AI is good at reading and drafting. Judgment stays with your team. A well-built setup keeps a person on every decision that matters:

How does an AI firm set it up?

A custom setup for a boutique CRE firm usually runs in six steps. Here is how we do it at Kanaka Capital.

  1. A first call. We learn how your firm works and where the hours go.
  2. Setup in your office. A small, always-on computer holds your working files. Your team reaches it over a private, encrypted network, from the office or the road.
  3. Onboarding. We read and organize your leases, LOIs and listings with you, and check anything unclear before the AI relies on it.
  4. Connect your tools. Email, calendar, spreadsheets and accounting. If you use a tool we haven't connected before, we can usually connect it.
  5. Build one skill at a time. Start with the task that costs the most hours, and add more as each one earns its keep.
  6. Improve. Your team sends us notes, and we refine the skills so it keeps getting better at your work.

Should a CRE firm hire an AI firm, buy CRE software or use ChatGPT?

Boutique firms usually weigh three options. Each one fits a different need.

CRE software platformChatGPT or Claude on its ownAn AI firm (custom build)

If your team is happy in its current tools and the bottleneck is paperwork, a custom build tends to fit best. If you're replacing your whole system anyway, start with software. For quick drafting on your own, ChatGPT or Claude is enough.

How many CRE firms use AI today?

Most commercial real estate firms are experimenting with AI, and few have it working day to day. In Deloitte's 2027 Commercial Real Estate Outlook, 92% of surveyed executives said they were still piloting or researching AI, and only 8% had integrated it.

Getting from a pilot to daily use usually comes down to fitting AI into how the firm already works. That's the part a custom build handles.

What should you ask before hiring an AI firm?

Frequently asked questions

How much does AI cost for a commercial real estate firm?

It depends on what you need built. We scope it with you on a first call and price the outcome, never the hours. AI usage is billed to your own account, so you always see what it costs to run.

What happens to our files?

Your working files stay on a computer in your office, under your control. Documents are processed through AI providers under commercial terms, and when you ask a question only the relevant passages are sent. We name every provider and walk you through what leaves the office before setup begins.

Do we have to switch software?

No. It works with what your team already uses, such as Gmail, QuickBooks and your spreadsheets. If you use a tool we haven't connected before, we can usually connect it.

Will the AI send emails on its own?

No. It sorts, flags and drafts. Someone on your team approves anything that goes out.

How long does setup take?

It depends on how many files and tools your firm has. We scope the timing with you on a first call.

Which AI does Kanaka Capital use?

We build on leading AI models, primarily Anthropic's Claude, inside a setup made for your firm and connected to your own files.

What size firm is this for?

Boutique commercial real estate firms that specialize in their space, usually teams without an in-house IT or data department.

Who is behind Kanaka Capital?
